How do I get a licensee name and license code?

You are emailed all license information automatically after you submit the form on the download page. If you have not received this email, please ensure you provide the correct email address on the download page, then submit again. If you continue to experience a problem, please contact us.




Why do I see an error when I enter my licensee name and license code?

This may happen because:
  • You did not enter it correctly. The licensee name is case sensitive, please ensure you enter it exactly before contacting technical support.
  • Your license has expired. You may have an old license code, or you may have installed the software more than 30 days ago. You may contact license(at)sphericaltech.com to request additional evaluation time, or purchase a full license from our online shop.




I can't log on to Spherical Timesheet, what should I do?

For stand alone users

The first time you ran Spherical Timesheet you would have been prompted for a username and password. Ensure that you are entering this username and password correctly now. If you have forgotten your password, you can delete all of your timesheet data and start again.


For members of a workgroup

  • If a staff member sees the error message "incorrect username or password" when trying to log onto the company's project database for the first time, it is likely that the staff member does not yet have a user account in the central company database.
  • Spherical Timesheet has a number of databases, and each database can potentially have a different username and password. To prevent confusion, it is usually best to use the same username and password for each database.
  • If you are using Microsoft Jet for your central company database, staff members can create a user account by clicking the New User button and entering in their username and password when logging onto the Project database (the name of the database is always written on the login window where you are prompted for your username and password). It is important NOT to press the New User button when logging onto the local raw and edited databases, as this can create multiple logins on these databases and result in confusion.
  • If you are using Microsoft SQL Server, the first person to log into Spherical Timesheet will need to have db_owner access priviledges on the SQL Server. Spherical Timesheet will then automatically create all required tables when they log on.
  • The system administrator can setup a workgroup for Microsoft SQL Server using either NT or SQL authentication. If you are using SQL Server authentication, the system administrator will need to create user accounts with Microsoft SQL Server Enterprise Manager (or equivalent administration software) before staff can login. If using NT authentication, the system administrator must setup correct trust relationships between the domain controller and SQL Server. NT authentication is recommended for advanced system administrators only.
  • If you wish to use the MSDE 2000 version of Microsoft SQL Server, you will need to install MSDE with special command line options to enable you to use SQL authentication. By default, MSDE 2000 is installed allowing login from the local machine only. Please refer to the MSDE 2000 documentation for further information.
  • If a staff member sees an error message when trying to login into their local raw or edited databases, please follow the steps listed in the For stand alone users section above.
  • If you see an error relating to files not found when trying to log on, it could be related to the path specified for the storage of company configuration files. Please ensure this path name has the same drive letter mapped on every machine that wishes to access it, and that all users have the correct permissions to access the company files.



How do I change my password?

You can change your password at anytime from within Spherical Timesheet from the Tools / Change password menu.




How do I stop Spherical Timesheet from prompting me for a password?

Go to the Tools / Change password menu, enter in your old password only (leave the new password fields blank), then click OK.




Can I evaluate Spherical Timesheet on multiple computers?

Yes. However, you will need to contact license(at)sphericaltech.com to request additional unique license codes.




How can I evaluate Spherical Timesheet with a shared timesheet database?

You will need to contact license(at)sphericaltech.com and provide your company name and the number of system users who wish to trial (up to 5). We will then email you a download link to an upgrade version of the software, and a set of unique license codes.




What does Spherical Timesheet do when I'm not in front of my computer? Can I adjust this behaviour?

Spherical Timesheet has a sophisticated system for tracking time when the computer is and isn't being used, this is handled at two levels:
  1. When you stop moving the mouse or using the keyboard for 30 seconds, it registers this as unallocated time.
  2. When opening a period, the cleanup system automatically removes any unallocated time that was shorter than 10 minutes, absorbing it into the other work you were doing at around the same time.
Hence, if you stop working on your computer for 5 minutes, then return to work on the same document, it will appear as if you were working on the document for the entire time. However, if you leave your computer, perhaps to attend a 30 minute meeting, the unallocated time will not be absorbed in the cleanup operation. As unallocated time is registered within 30 seconds, the start time of this meeting will still be accurately logged.

You can change the cleanup threshold from 10 minutes to any length of time. To do so:
  1. open up Spherical Timesheet
  2. Select Configuration from the Tools Menu
  3. Open the Cleanup branch
  4. Open the Load branch
  5. Open the AbsorbShortUnalloc branch
  6. Type in length of time (in seconds) in the value column for the Threshold parameter




Will I lose my timesheet data if I upgrade from the evaluation version to the full version?

No. You will not lose any data, the full version will automatically use the timesheet data that has already been collected.




How do I upgrade to the full version?

You will need to first purchase license/s from our online shop. Once you have purchased, you will be shipped a CDROM which includes the full version of the software. Simply install the full version directly over the top of your current installation and it will be upgraded.




How do I delete all my Spherical Timesheet data and start afresh?

Your Spherical Timesheet data is stored in a set of Microsoft Jet files with .mdb and .mdw file extensions. The location of these files depends on which version of Windows you run as listed below:
  • Windows XP/2000: C:\Documents and Settings\your username\Application Data\Spherical Technology\Timesheet\your username
  • Windows 98/Me: C:\Windows\Application Data\Spherical Technology\Timesheet\your username
  • Windows NT 4: C:\WINNT\Application Data\Spherical Technology\Timesheet\your username


To delete your database files and start afresh, perform the following steps:
  1. Ensure Spherical Timesheet is not running.
  2. Ensure Spherical Timesheet Logger is not running. If the Spherical Timesheet icon appears in the system tray at the bottom right of your screen, right-click on it and choose Close Logger from the menu.
  3. Open Windows Explorer/My Computer. You can do this by holding down the Windows logo key and pressing the E key.
  4. Ensure you can see hidden files and folders. To do this, select Folder Options from the Tools menu, click the View tab and enable the Show hidden files and folders option.
  5. Browse to the data directory listed above for your version of Windows.
  6. After double-checking you are in the right directory, delete all the files in it.
  7. Start Spherical Timesheet from the Start menu.
  8. Choose the default options at the Open Period window.
  9. You will be prompted for a new password for your user name. You need to remember this password to access your Spherical Timesheet data.
  10. Once Spherical Timesheet has recreated your databases, choose Start Spherical Timesheet Logger from the Tools menu to continue logging your work.


How do I use my handheld device or PDA with Spherical Timesheet?

Most Personal Digital Assistants that can synchronize with Microsoft Outlook Calendar can also be used to create timesheets entries. To create timesheet entries using your PDA:
  1. Enter your timesheet entries using the calendar software that is supplied with your PDA. Note that the calendar might be called something different on your PDA, such as Date Book.
  2. Synchronize your PDA with Microsoft Outlook to import your time entries into Microsoft Outlook Calendar. Please follow your PDA's instructions for further information on how to do this.
  3. Start Spherical Timesheet and load a Period with Enable Cleanup enabled.
Spherical Timesheet automatically imports Microsoft Outlook Calendar Appointments as part of the Cleanup process. By default, any data collected by Spherical Timesheet Logger will be disregarded in favour of an Outlook Appointment which occurs at the same time. Spherical Timesheet imports the Subject, Body, Start Time and End Time fields of a Microsoft Outlook Appointment.
